The duties I did as secretary for the Cardiff Chess Club.

Basically not much updating as the files

2. Assessing number of teams:
Preseason (Aug) check on player’s
availability
·
Checking players for each team
·
Working out who best to nominate (before each team’s first match)
·
Working out who best to keep as floating players/drivers
·
Each team needs driver/s
3. Organising winter Fixture List:
Mainly done late Aug you’ll receive a
list of dates from the ExD. Preseason change request from other clubs.
·
Avoid weekly team clashes of more than 7 = 35 players.
·
Arrange at most for two home matches on Wed/Thu
·
Arrange for only one home match on Tue
·
Avoid bank holidays.
·
Make a master chart of each team’s schedules.
4. Weekly matches:
I remind each team captain the weekend
before each match. A few captains organise their players the rest rely on me
emailing their players.

I send emails to all team players asking if they are able to play. Some
confirmed, those who fail to replay I have to phone and those unavailable I
either email or phone for replacements depending on time. (This process must
start early enough for time to organiser replacements.)

For away matches I check transport is organised.
·
I Collect match result and send them in by filling out the online match card.
5. Club Magazine:
Prepare and collect information throughout the year
·
Most of the data about teams league standing and players who played are already
collected this info is then placed within the design of the magazine.
·
The following seasons fixture for each individual teams is sorted for mag.
·
Games and any position set up are done.
·
Captain reports are done mostly by captains others are done by Hugh.
·
Proof reading is done by Stuart
·
Reports are mostly done by Stuart, Tim and Hugh with the odd member.
6. Meetings:
Arrange three meetings yearly or EM
·
The first meeting is early to mid May to report on pass seasons team results and
to organise the summer programme normally done by Hugh. We also plan dates for
the pre-AGM committee meeting and the AGM.

Pre-AGM and AGM are usually in July
Others:
I monitor: Nominations are completed (6 games), plus in Div’s with more than
three teams you musts avoid playing a player more than four time against
opposition.
Club Championship is normally run by John Trevelyan with pairing help from me by
email.
Summer Programme has been organised by Hugh over the past several years.
